6 weeks before — set the frame

  • Pick the date and start/end time. A two-hour window is the sweet spot for younger kids.
  • Decide the guest rule you will use — whole class, a number cap, or cousins plus close friends.
  • Choose home or a booked venue, and check what the venue provides versus what you bring.
  • Set a rough spending plan per category and copy it into our party budget template.

4 weeks before — lock the big pieces

  • Book the venue, entertainer, or rental items if you are using any.
  • Pick the theme and order or list the decorations you actually need — two colors and one shape is plenty.
  • Order the cake or plan the baking day.
  • Draft the guest list and check for date clashes (school events, holidays).

3 weeks before — invitations out

  • Send invitations with an RSVP-by date about one week before the party.
  • Plan the food menu and note any allergies that arrive with RSVPs.
  • Plan two or three games and list the supplies each one needs.
  • Order party favor bag fillers.

2 weeks before — chase the details

  • Buy non-perishable supplies: decorations, tableware, game prizes.
  • Follow up on quiet non-responders — a short message beats assuming.
  • Confirm any helpers and give each one a named job for party day.
  • Do a dry-run of the house layout: where coats, shoes, presents, and the cake table go.

1 week before — food and final calls

  • Finalize the headcount from RSVPs and adjust food quantities.
  • Shop for perishables planning, or book the grocery pickup slot.
  • Charge cameras and portable speakers; test any playlist.
  • Prepare the favor bags and put them where you will not forget them.

Day before — set the stage

  • Decorate everything that will survive overnight: banners, balloons anchor points, table setup.
  • Prep what can be prepped: chopping, platters, drink station.
  • Confirm the cake pickup or start the bake.
  • Put out a notes pad for day-of timings: cake time, game time, present time.

Party day — run the plan, not the panic

  • Follow the notes-pad timings; the cake moment goes smoother with a set time.
  • Give each helper their named job and let everything else slide.
  • Photograph the details before guests arrive — the calm table is the best shot you will get.
